How I Organize My Photos

About 7 years ago, I tackled a huge, procrastinated project in my house.  I knew that most of the areas of my life, my home, were organized...except for photos.  Many were thrown into boxes, still in the sleeves from the developer, and others were scattered in ugly photo albums or stuck in envelopes.  I had a goal:  to get every single wingle photo I owned into matching photo albums.  Every SINGLE WINGLE. 

It was a huge project, but the motivation was this:
It would only get worse!

So I did this:
1. I found relatively cheap, sturdy, classic photo albums online and ordered a bunch.  I use these. I wanted ones that I would always be able to purchase...you could purchase these 40 years ago, and so I figured I could purchase them 40 years from now.

2. I painstakingly went through every single photo, and sorted them in chronological order.  PAINFUL, yes.  For sure.  I labeled boxes by the year and threw them in there first, and then went through the boxes and ordered them by month.  It took me about a week and I worked on them every chance I got.  I did one box for Jeff's childhood pics, one for mine, and one for our dating years, engagement, and wedding.  From then on, it's just all chronological.  Nothing fancy...I don't write things on the photos, or in the albums.  To me, it's enough that I have them IN albums.

I am now about to album #25.  (I bought sticker numbers from Michael's.)  See..I told you!  It can only get worse!

3. I try to go through my downloaded photos once every 3 months and order prints.  I don't have time to make sure each photo is print perfect...sometimes I edit, most of the time I don't.  I send them to the store I grocery stop at...that way, it's not inconvenient to pick them up.  I make myself IMMEDIATELY put those prints in the albums.  If you get behind on this stuff, as I know, it only creates more work in the long run. 

(And a big P.S.  My mom has a huge box of photos, all jumbled up, from our childhood.  No neat albums.  I love getting the box out and looking through them photo by photo.  You never know what you'll get.  So if your approach is "throw it in a box" and it doesn't bother you, then by all means, keep throwing!)

Album Information:  Pioneer Photo Album BDP-35.  I google that, then find the cheapest price on line.  You can sometimes find these at Michaels, but they don't keep a large stock of them, and a unreliable color choice.  (But they are probably cheap with a coupon?)

  1. I just made a big photo book for my husband's 95 year old great-grandmother's birthday. I had to go through boxes, bags and drawers of photos - one hundred years of photos (she had some of her mom's photos) to scan and create the book.
    When I gave it to her, after some tears, she said over and over... "Wait till I tell my friend Lila, I have one up on her, I finally have my photos organized." Her friend Lila turns 95 this week too.
    So my grandma-in-law's photos are organized but mine still aren't... maybe in another 60 years they will be.

  2. I am good about keeping my pictures organized on the computer. I have a folder for each year (e.g. 2010). Within each year folder I have one folder for each month, which is named starting with the number of the month (e.g. 1 January) so that the folders stay in the order of the months. Within each month folder I have another folder for each day that I have photos from with a short description of the photos (e.g. 1-1-10 New Year's in St. Marys). I almost always download pictures at the end of the day that I take them. This system works great for me, so I thought it may help someone else. I didn't start this from the beginning of my digital picture days. I just decided to do it this way one day and started a folder with that year, month and day. I slowly went back to organize the rest of my pictures this way. What I need to be better at is printing pictures. What good are pictures that are saved on my computer doing my family?

  3. I agree! There is something special about having your pictures in albums and being able to look through them. My girls are always asking to look at the albums!

Great idea!!! i got into "scrapbooking" 10 years ago when i first starting having kids, and now, 4 kids later, it's a little unrealistic! i love the finished product, but it's alot of work and MONEY!!! i've considered doing those online albums now that everything is digital, but i love your idea--especially because all the albums match. My scrapbooks are exploding at the seams and all mismatched... Thanks!!

  10. I admire your organization. We were just talking about this this weekend and debating scanning them into the computer or just putting in albums or both. It seems as daunting to me as cleaning the attic !

  12. I so need to take the time (and money) to get pictures off my computer. I have tons of pics from when my daughter was young that were printed, but then I have gotten lazy and haven't had any developed in the past 5 years to seems like.

  13. YIKES!! I'm overwhelmed just thinking about a lifetime of photos to organize! I used to be so good when my kids were younger...now I've slacked and am back to being overwhelmed...Time for me to get online and geta bunch of albums. Thanks for the inspiration!

  14. I am choosing photos for Heidi's wedding video (don't get me started on this one), and there is a great value to having the pictures in albums. Maybe this summer . . . after the wedding.

  15. I have really wanted to tackle the same thing. I too want to put all the pictures in matching albums and was worried about not being available. Can you share the website where you bought yours? Thanks! You have inspired me to get with it. I have most of my pictures in a yearly box, by month. However, my youngest spilled two of the boxes, so I get to do that over again...eek! No dates on most photos too!

I did the scrapbooking thing....I'm not super creative...so for me, it took ALOT of time...While I love the way it looks...I just don't see having that kind of time for every album :) I ABSOLUTELY adore the way you do it! I love the classic look :) I think this may be my Summer project!!! Thanks Sarah :) Or then again, maybe I'll just buy a really cute box :)

  19. This is so timely! I'm just going through a year's worth of photos doing the same thing and was starting to feel a bit overwhelmed. Hoping to go back to monthly printing after this lot.

    The one thing I can say though if anybody does write on thoose memo tabs- use pencil! It's sod's law that as soon as you have the pictures organised and the tabs written up chronologically, somebody sends/ gives you a fabulous photo from that some thing you did together!

  20. I'm in the middle of this right now! Just did a post on the album I'm currently working on for my three year old. You are so right! You HAVE to find a realistic way to stay on top of things or it just gets out of control! I love what you're doing. Actually developing the pictures is the first step. I feel so good developing pictures again and not just having them all on the computer - where we never look at them! I've been amazed at how much my girls want to look at the books I'm creating them. Total movivation to develop those pics! Great solution for busy moms Sarah!!!

  21. growing up my favorite pastime was to look at the picture albums we kept in the game closet. When my parents both died I - the oldest and only girl got all the pictures. ALL - thousands - I'm talking back to the 1800's. What a project!!! I have tackled about half. I have involved my cousin to be the keeper of some of the very old ones and organized most of them. They are all in a file cabinet waiting to be put into albums. My biggest challenge - getting the new ones I take weekly off my computer. Love the monthly print schedule. You are as always... brilliant!

  24. I love your system - no surprise there - I love ALL your systems. I remember seeing those albums in another picture and thinking, "Does she still have a set of Encyclopedias?!?"

    It's even funnier to me know because my parents do, and right in front of their encyclopedias is a huge basket of random photos. :)

    I need to get going on this project - summer! That's what I am telling myself. I still have closets to clean.

  25. I have a huge box of things waiting to be scrapbooked and a ton of pictures waiting to be printed. The scrapbooking idea seems wonderful but overwhelming, so I just do't do it. The pictures I do look at are the ones in the albums I have...maybe I should just stick with that until scrapbooking seems more ideal...like when I don't have 3 kids under 4! If I organized them in albums and decided to scrapbook, a lot of the work would be done already. Thanks for the inspiration...again! You are my organizing idol.

  26. My family are all big scrapbookers, and while I love the look, I'm just not into it. It seems like so much expense and time! Then I found the site How Fast Time Flies and have ordered several photo books from them. They have a personalized, scrapbook-like touch without being so time consuming. The pages aren't super cheap ($5.50 each), but when you consider what I'd spend on scrapbooking supplies, I think I come out all right.

  28. Our photos are half organized half boxed...and its driving me crazy. Just last week we downloaded photoshop and something happened to my computer pictures. They are all mixed up and I'm sick over it. I don't even know where to start. : (.

    PS Just wrote a post today, as to why I'm behind on my organizing and decluttering. A complete contrast to your post from yesterday.

  30. This is great. I'm the unofficial family photographer so I have a lot, not as pretty as yours but in 3-ring binders. I also am trying to sort through my mom's photos. I hope you are labeling WHO everyone is in your photos. My parents didn't; they are gone and it's difficult if not impossible to identify my aunts/uncles, etc. in the photos. Same goes for baby pictures - we all looked alike when we were babies. My mother and my aunt both claimed the same baby picture is THEIR daughter!!

  32. Yesterday right before I read this, I had just gone through some papers, randomly stumbling upon more misplaced photos...ack! Then, I did a quick blog check and literally laughed outloud when I saw this...perfect - exactly what I needed when I needed it to feel like, "Yes I Can!" Thank you...ooo, and I checked out that link to those albums and they look great: Right price and everything!

I'm so glad you chose binders that you'll always be able to get, that part has always driven me nuts, I want all matching ones now and 5 plus years down the road!! Thank you so much for the binder info as well! I've been trying to go to digital scrapbooking but I have found it overwhelming...I think this is a great idea, I did it a few years ago - bought some albums and just got the pictures in there when my kids were younger but once we got a digital camera they've been all stored on my computer. I absolutely love your blog. Thank you so much for taking the time to share your life and insights with us.

  37. One of my jobs is helping people get their photos organized. It is amazing that the task seems so daunting, yet you were able to organize all your photos in a week. This is awesome! People are always surprised at how little time it actually takes. Having photos in albums is so important. And having a printing plan is genius, too. So few people today actually print any photos! Blessings!

  38. Thanks for sharing this tip & the google search. I was just telling my husband that this is going to be my project, for this year. I need to do this badly. I have two yrs of photos on a CD, that have not been printed & a yr on the laptop that haven't even been put to a cd. Ughhh, I am so terrible about photos.
    I also have a box at my mothers that I have gone through. My goal about 3 yrs ago, was to make my parents a CD of the yrs together. Never did that either. :(

  41. This is wonderful. I am hoping to make that my big project next year (I have more like 14 years' worth to go through. arg).
    My question is,
    How do you archive and backup your digital photos? I know it's too big a risk to keep them only on the hard drive (plus mine keeps filling up!). I'm thinking I might do an external hard drive backup and maybe an online one as well. What do you do for yours?

  43. Thanks, Sarah! Another note -- I just discovered (maybe you already know) that many photo printers will print the filenames on the backs of the prints. If the photos are organized by date, that would be a handy way to have them labeled without any extra effort, eh? :) I think I will try that. . .
    BTW, I should have mentioned before that your blog is one of my absolute favorites. I have really started to pare down which ones I read, but yours keeps making the cut. I first started reading because you have four boys and one girl, like I do. :) (Although my girl was last to arrive.) Thank you for being real and uplifting and for all the wonderful ideas.

  44. I read this post A LONG time ago and just remembered it because I want to start this project. I was going to order the same albums but now it says discontinued...BUMMER! So now what do you use? I really like the uniformity of having the same album.

  45. I love the classic looks of these albums too. I searched Pioneer photo albums and found what I think are the same albums on different sites.

    My question is this: I'm unclear how the photos go in the album. If the "pocket" holds 3 4x6 horizontally or 2 4x6 vertically, what keeps all 3 pictures from sliding to the bottom of the pocket? Thanks!

    Love this post and your organization. I was wondering how you organize the photos that are not 4x6, but the larger ones. Did you buy different sleeves to put in? From the online website, it appears that you can not put in any photos of a different size. Thanks so much! I appreciate your help with my organization :-)

  47. Sarah, I just found your blog and I have to say- I'm so in love. I love your big family, your parenting ways and your clean counter tops :) My daughter will be 2 in September and I see I have so much to look forward to with her and my family. Ok- so my question is- do you make scrapbooks/albums for the children individually? I have been reading a lot about this lately, I can't imagine keeping up with one child's yearly scrapbooks as well as a annual family one as well. Just curious on your thoughts.
